How does this actually work?  How can we work together if we are not in the same place?

Contact with the client is usually by email, telephone, fax or post, whichever method the client prefers.  If possible, there is an initial meeting where the client's needs are discussed.  After that, clients forward their instructions by their preferred method, the instructions are confirmed back, and then the work is carried out.  In many businesses, people spend a lot of time travelling, attending meetings, even working from home, giving their PAs instructions via telephone or email.  Working with a Virtual Assistant is the same, except the Virtual Assistant sits in their own office, rather than the same office as their client

What benefits are there to me?

There are many benefits to using a Virtual Assistant.   As I am self-employed, there is no need to worry about paying a full-time salary.  You pay only for the time you use.  Nor do you need to pay tax, national insurance, holiday or sickness pay. 

When you delegate your administration tasks to me, you have more of your valuable time available to concentrate on your business.  Your evenings, once spent dealing with administration, are now free giving you a better work-life balance.

How much do you charge?

How do you calculate how much time you spend on client work?

I use a recording system to monitor the amount of time spent on client work.  It works on a punch in-punch out basis and provides an accurate record of time spent on client work.  Clients receive a breakdown of time with their invoice – issued on a monthly basis.

What if I don’t have the same amount of work each week?  What if I need lots of help one week and nothing the next?

Swan Virtual Assistance tailors its service to its clients’ needs.  There is no need for regularity.  There is no minimum number of hours needed.  Nor are you restricted to working on specific week days.  You might need help on a Monday one week for a couple of hours, but a Thursday the next, maybe for only 30 minutes.  Whatever you need - when you need it.
